We're looking for an Appointment Specialist to join our team!

We are looking for a dedicated Appointment Confirmation Specialist to join our team. In this role, you will be responsible for ensuring the smooth management of client appointments by confirming schedules, rescheduling missed appointments, and maintaining accurate appointment details. Your primary goal will be to provide exceptional service and clear communication to our clients.

Key Responsibilities:

  • Appointment Confirmation: Contact clients to confirm scheduled appointments, verifying that all details are accurate and that clients are prepared for their appointments.
  • Rescheduling: Proactively follow up with clients who miss their appointments, rescheduling as needed and addressing any concerns or obstacles that may have caused the missed appointment.
  • Lead Management: Manage hot leads by tracking and prioritizing follow-ups to maintain timely communication. This includes making outbound calls to confirm or reschedule appointments and ensuring a smooth booking experience.
  • Client Communication: Maintain professional and courteous communication with all clients, providing clear information and assistance regarding their appointments.

Who You Are:

  • A strong communicator who enjoys interacting with clients over the phone.
  • Detail-oriented and organized, with a knack for managing schedules and following up on tasks.
  • Proactive and able to handle multiple priorities, ensuring timely follow-ups.
  • Comfortable working in a fast-paced environment with a focus on customer satisfaction.

Requirements:

  • Previous experience in appointment scheduling, customer service, or a similar role.
  • Excellent phone etiquette and communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage time effectively and prioritize tasks.
